How FDBeacon collects, uses, and protects your information
Effective Date: March 1, 2026 | Last Updated: March 1, 2026Summary: FDBeacon is a B2B pre-incident planning platform serving fire departments. We collect only what is necessary to operate the service. We do not sell your data. Building and operational data belongs to your department. This policy explains exactly what we collect and why.
FDBeacon is a pre-incident planning platform developed and operated by SOAR Consulting Group ("we," "us," or "our"). FDBeacon provides NFC-based building intelligence tools to fire departments and fire prevention organizations across the United States.
Our registered business address and primary contact for privacy matters is listed in Section 12 of this policy.
This Privacy Policy applies to:
We collect data in three contexts: from department administrators who manage the system, from firefighters and responders who access building data in the field, and from visitors to our public website.
| Data Type | What We Collect | Purpose |
|---|---|---|
| Account credentials | Email address, encrypted password | Authentication via Supabase Auth |
| Organization info | Department name, organization ID | Data isolation between departments |
| Building records | Name, address, construction, occupancy, hazards, fire protection systems, contacts, and all pre-plan fields entered by your department | Core platform functionality |
| Session data | Login timestamps, last sign-in | Security and audit logging |
| Edit history | User ID of who created/updated records, timestamps | Accountability and data integrity |
| Data Type | What We Collect | Purpose |
|---|---|---|
| Tag code | The unique FDBeacon tag identifier scanned | Retrieve correct building record |
| Scan timestamp | Date and time of NFC tap | Usage analytics for department admins |
| User agent string | Device type and browser (e.g., "iPhone, Safari 17") | Compatibility monitoring |
| IP address hash | One-way hashed — cannot be reversed to identify a person | Duplicate scan filtering, abuse prevention |
No login is required to access the Responder View. Firefighters who tap an NFC tag are not identified, tracked by name, or required to create an account. IP addresses are hashed before storage and cannot be used to identify individuals.
| Data Type | What We Collect | Purpose |
|---|---|---|
| Contact form submissions | Name, email, department, phone, message | Responding to demo requests and inquiries |
| HubSpot CRM data | Contact details submitted via our contact form | Sales and follow-up communications |
| Website analytics | Page views, referrer, browser type (no personally identifiable information) | Understanding site usage |
We use the data we collect solely to provide, maintain, and improve the FDBeacon service. Specifically:
We do not sell your data. We do not use your department's building data, personnel information, or scan logs for advertising, third-party marketing, or any commercial purpose beyond operating FDBeacon.
All FDBeacon data is stored in Supabase, a PostgreSQL-based cloud database platform. Supabase provides:
Authentication is handled by Supabase Auth, which follows industry-standard practices including bcrypt password hashing and JWT-based session tokens.
Organization isolation: Every building record, tag, and scan log is associated with your department's unique organization ID. No administrator from one department can access another department's data — this is enforced at the database level, not just the application layer.
FDBeacon's web files are hosted on cPanel-based web hosting with HTTPS enforced. Contact form data is transmitted to HubSpot via their secure API.
We do not share, sell, rent, or trade your personal or organizational data with third parties for their commercial purposes. We may share data only in the following limited circumstances:
The FDBeacon Responder View is a public-facing, read-only page that delivers building intelligence to firefighters upon NFC tag scan. Key privacy considerations for this feature:
Department responsibility: Fire departments using FDBeacon are responsible for ensuring that building data entered into the system complies with any applicable local, state, or federal data handling requirements for their jurisdiction.
We retain data for as long as your department's account is active or as needed to provide services. Specific retention periods:
